First Light Widowed Support is seeking a compassionate, highly organised and proactive Admin Support Coordinator to become a vital part of our growing team.

This is more than a traditional administration role, you’ll be at the heart of our operations, supporting community members, helping to coordinate events and projects, managing communications and helping ensure our programs run smoothly and remain impactful.

As the first point of contact for many people navigating grief and loss, your warmth, professionalism and empathy will help create a safe and supportive experience for our community.

Experience working with bereaved or vulnerable populations is preferred but not essential for this role.

We’re looking for someone who thrives on variety, takes initiative, loves problem solving and enjoys working autonomously in a flexible work-from-home environment. A minimum of 3-5 years experience and relevant qualifications in event coordination, project/program delivery, administrative leadership and/or executive support is required for this position.

 

Key tasks include:
  • First point of contact services to clients and stakeholders (providing a sensitive, trauma-informed experience) including manage multiple email and social media inboxes, membership vetting and donor relationships (email, phone and written correspondence).

  • Advanced CRM and database management experience is required to effectively manage stakeholder database and maintain accurate records.

  • Assist with program support, project management, volunteer supervision and event planning and delivery.

  • Business administration tasks such as reviewing, updating and creating documents, secretarial duties, obtaining quotes and placing orders and preparing and posting mail out items and resources.

  • Computer-related tasks including updating our website, posting blogs and creating online fundraising campaigns, Canva graphics (from template) and e-newsletters.

TQ1: Proven ability in project management or event coordination, managing multiple tasks and competing deadlines, ensuring quality and accuracy is not compromised.

TQ2: Demonstrated experience providing excellent customer service to a range of stakeholders including those requiring compassion and sensitivity.

TQ3:  Strong computer / online skills, with experience maintaining a digital database/filing system, updating websites and creating e-newsletters, remaining complaint with branding and style guidelines while working autonomously to a high standard.
